Specific Errors and Claris Emailer

Automatic features of Claris Emailer with CompuServe Internet mail.


Anyone who sends or receives email from CompuServe (CIS) to the Internet will be interested in a few very cool things Claris Emailer does.

When Claris Emailer receives a message on CIS that came from the Internet:

- Claris Emailer parses and strips the Internet headers.

- When Claris Emailer parses the Internet headers, it checks the recipients in the header to make sure they are all there in the CIS recipient list. It does a look-up in the Address Book to add the names of people in the recipient list (as it does with all messages).

- Claris Emailer automatically decodes a BinHex enclosure. This means you can receive a file from someone on the net. it will decode MIME messages as well

- Claris Emailer removes the header. You can still see the header if you really need to by pressing the Show Headers button.

When you send a message to the Internet from CIS:

- You can send a file to someone on the Internet. Just choose BinHex as the encoding method in the enclosures area of a message.

- Claris Emailer understands the formatting required to send to the Internet from CIS. You don't need to enter in the address field "INTERNET:Jdoe@abc.ohio-state.edu".

Finally, when you are on the Internet or on CIS and send a message to a recipient on CIS, Claris Emailer knows to use a period or comma in the correct situation and converts it correctly. For example, 74431.2173 is converted to 74431,2173 if the message is CIS to CIS and 74431,2173 is converted to 74431.2173 if the message is Internet to CIS. This simply means that you don't need to worry how you enter your CIS address in the Address Book -- Claris Emailer takes care of the formatting automatically.

The bottom line in all of the above is that Claris Emailer makes Internet email on CIS as easy as any other email.

Important: CompuServe has surcharges for messages sent and received via the Internet. Sending a large file to many people on the Internet can be a shock.

Configuring AOL to Connect via the Internet


The correct way to configure AOL in Claris Emailer to connect via the Internet is to simply choose Claris Emailer TCP from the Network popup menu in the AOL Service Setup window.

Do not try to connect by clicking the Configure button and selecting the TCPack for AOL connection tool. This tool can only be used with the AOL client software. If you try to connect to AOL via TCP this way, Claris Emailer will just keep trying unsuccessfully. Click the Stop button in the Connection Status window, and change your AOL Service Setup to use Claris Emailer TCP.

Connecting to Multiple Internet POP Accounts


Some people have accounts with multiple Internet Service Providers. Claris Emailer 1.0 cannot control MacPPP, InterSLIP and other similar programs to dial out to one Internet Service Provider and then dial another one. However, it is possible and even more efficient to pick up all your mail via one provider anyway.

Simply configure MacPPP, InterSLIP or another similar program to dial the Internet Service Provider you find most reliable or economical, and use an Claris Emailer schedule or the Connect Now feature to connect to all your POP accounts via that one service provider all at once.

Encoding Email Enclosures


The term "encoding" an enclosure, refers to converting both forks (the data and resource forks) of a Macintosh computer file to a text-only format that consists of a limited set of ASCII characters that can be transmitted via the Internet which currently supports the 7-bit ASCII set. The three basic encoding types used by Claris Emailer are described below.

Service Default
The service default option is designed to transfer file information to the recipient with the default encoding used by the destination service. When this option is used, Claris Emailer software relies on the defaults of the destinations carrying service to determine how the enclosure(s) will be encoded and/or compressed. If the carrying service does not encode or compress enclosures Claris Emailer will not apply any encoding or compression to the files being sent.

BinHex
BinHex, sometimes known as ".hqx," translates both the resource and data forks of a normal Macintosh file into a continuous string of ASCII-text data. This enables the Macintosh file type, creator, and resource information to be maintained during file transfer. A BinHex encoded file will tend to grow larger in size, but it is very efficient encoding for Mac computer users because the encoded file retains all of the Macintosh file characteristics. Decoding a BinHex file can be accomplished with a number of utilities. The most commonly used compression utility is Stuffit Deluxe or Stuffit Expander by Aladdin Systems, Inc. After your enclosure is decoded it will return to its original file format for use on the Macintosh with no further conversions.

Base64 - MIME
MIME stands for the Multipurpose Internet Mail Extensions standard. This encoding should only be used when sending a file to someone who has a MIME-compliant email application.

UUEncode
This UNIX standard does much the same thing as the other encoding methods with the exception that it does not preserve the Macintosh data forks. If the file received is an application, you must know the file type and creator codes for the desired application and add them to the file with a file resource editing tool such as Apple ResEdit. To decode UUEncode files add ".uu" to the file name, open the file with a decompression utility that can translate UUEncoding (such as Stuffit Expander, or run it through another UUdecoding utility.

Note: Both Base64 - MIME and UUEncode converts non-printing binary data into ASCII-text, thereby loosing the information that identifies the file as a Macintosh file. When a encoded file is received, it must be decoded by the appropriate MIME- or UU-decoder. The resulting file will show up on the Macintosh as a generic file. You or the recipient must know which application can read the given file so that you can start the application and then use that application to open your document.

Forwarding a Message Doesn't Include the Enclosure


When you forward a message that you received which has an enclosure, Claris Emailer will not forward the enclosure. To forward the enclosure, drag it from the original message into the file enclosure area of the new message. Or you can select the Downloads folder located in the Claris Emailer Files folder if you click on the Add Enclosure button.

• Can Claris Emailer import my Eudora, AOL, Navigator, and CIS Information Manager address books?

Yes. See the Claris Emailer User's Guide for more information on importing address books.

• How do I add someone to my address book from an incoming message?

Use the small + (plus) button next to the sender's name.

• I love using the + to add an address to the Address Book. Sometimes there is an address in the text of the message that I would like to add. Can I do that?

Yes. If you have Macintosh Drag and Drop installed, you can drag addresses from the body of any Claris Emailer message into the Address Book or onto the Address Book tab. Doing so creates a new entry in the Address Book.

The following address formats are supported:

Note that the address must be the full Internet address which contains the @ symbol.

• Why didn't the individual's address change in the group when I changed their address?

The addresses in groups are not "connected" to the addresses in the address book. To update a group address, you should edit the address within the group address.

• Where are the group addresses?

Group addresses are always at the bottom of the Address Book list.

• Can I put address book groups within groups?

No. Each entry in an address book group must be an address.

• Why did my address book destinations change?

The destinations are saved in a file called Destinations. If you move or delete this file, Claris Emailer creates a new one. The new one may not have the same entries as the one that was moved and your address book entries will need to be updated.

• Where do I put a company name in the Address Book?

You can use the Description field in the Address Book for anything including the company name.

• How do I find an address of a person on an online service?

To look up an address, you need to use the software that came from your online service. The best way to find someone's email address is to ask them for it. You can often save time and frustration this way. If you ask them to send you mail, you can easily add their address to your Claris Emailer address book by simply clicking on the "+" button next to their address on the incoming message.

• Can I put a space in an AOL address? For example, could I address a message to "J Smith" at AOL?

Spaces are optional in AOL screen names. For example, a screen name "Jane Doe" could also be written "JaneDoe." When you send a message to someone at AOL via the Internet, the address cannot contain a space. Claris Emailer properly removes any spaces when sending the message.

• Does it matter if the address is in uppercase or lowercase characters? For example, does JaneDoe@host.com work as well as janedoe@host.com?

You can use either uppercase or lowercase characters in an address. None of the online services or the Internet are case sensitive.

• Why did my imported address book not have names?

Address books used by other email programs often do not store names. You need to edit these addresses after importing.

• I want to export my Address Book but groups are not exported. What can I do to save the groups?

Groups are not exported because there is not a standard for importing groups into other programs. If you have Macintosh Drag and Drop, you can easily save groups and later add them to the Address Book.

If your Finder supports Desktop Clippings, select the group and drag it to the Desktop to create a Desktop Clipping.

If your Finder does not support Desktop Clippings, select the group and drag it to any editor that supports Drag and Drop, such as SimpleText or even an outgoing Claris Emailer message.

To put a saved group back in the Address book, select the Clipping file (or list of addresses if saved as text), and drag and drop it to the Address Book or Address Book tab. You will need to enter a name and description.

• When I export my Address Book, what happens to the default address for each address book entry?

The default entry is exported as the first address. This makes importing the exported address book very easy as the first entry is used as the default address.

Frequently Asked Questions (Connections)


• Why do I get bad connections or can't connect at all?

There are many reasons why connections can fail:

- Busy signal

- You can't get a phone line (often indicated by the message "All circuits are busy.")

- Bad phone lines (noise on the line, echoes, or other technical problems)

- Your online service or Internet service provider is experiencing difficulty

- Poor connection between the modems (your modem and the one on the other end of the call)

- Your computer may have too many other programs running and Claris Emailer cannot get enough time from the Macintosh

- Some phone systems need a 9, to get an outside line

Try the following:

1. Simply try again. Many connection problems are temporary.

2. Make sure you have entered a phone number and that it is the correct phone number.

3. Try a lower baud rate. This can help with poor connections.

4. Double-check your settings to be sure your modem type is correct.

5. If you are not using the Macintosh Comm Toolbox, try using it. Sometimes connections through the Macintosh Comm Toolbox are more reliable.

6. Switch to "Hayes compatible" modem string.

7. Be sure you're getting an "outside line" by dialing a "9," or "8," (make sure to include the comma) and then 1 and the area code; to test this, dial the number you're calling with the phone and see if you get through. If you can't get through, neither can your Macintosh.

8. If doing lengthy file transfers, try turning off AppleTalk. AppleTalk can compete with your modem for the computer's processing time and cause failures.

9. Try a different service to isolate whether one service is bad or your problem is the phone line, your modem setup, etc.

10. Try another tele-communications product besides Claris Emailer such as the AOL client to isolate whether it's Claris Emailer or your setup

11. If you are staying in a hotel, call the hotel operator and ask if they have to do anything special to enable your phone to connect.

• I have call waiting and it is disconnecting my modem. How do I avoid this?

If your phone line has call waiting, you must turn it off for the call. When entering the phone number, enter *70W (star seven zero W) before the number, for example *70W555-1212.

• Why won't my PowerBook connect?

Some PowerBook models have special modems. These modems must be controlled by the tools which come with the modems. Use the Macintosh Comm Toolbox connection and select the appropriate modem tool. Also, try the 11 items listed in the previous answer.

• I'd like to make changes to some information about the connection that is currently running but some items are disabled or blank. Why can't I make changes?

While Claris Emailer is connected to a service, it must use information in a connection setting. To prevent that information from being changed during a connection, Claris Emailer disables or blanks out certain information in the connection entry.

• I have the most difficulty getting an AOL connection. Any advice?

Try switching from SprintNet to AOLNet.

• What if I don't want to wait for a scheduled connection and want to send a message right now?

Use the Send Now button in a message or use the Connect Now menu item in the Mail menu to send all of your pending mail.

• Why can't I pick the exact minute of a connection?

Claris Emailer staggers its connection times to prevent many users connecting simultaneously.

• Where do I set the number of dialing retries for my modem?

In the CIS setup, it is in the list of settings. In the Apple Modem Tool, it is in the tool settings. Some Comm Toolbox modem tools, such as the PB500 tool, do not have retries. If you are connecting to the Internet via a dial-up connection, check the tool that does the connection, such as MacPPP (use the Config PPP control panel).

• Why didn't the connection stop when I clicked the Stop button?

When you click the Stop button, Claris Emailer tries to stop the current action. Some actions cannot be easily canceled because of interactions with the host and may take some time to cancel.

• I'm using the Apple Modem Tool, and I'd like to turn off the modem's speaker while it is connecting. How do I turn off the speaker?

You can turn off the modem speaker by adding "M0" (zero) to the modem initialization string for your modem. This takes a number of steps to set up but you only need to do it once.

Follow these steps to turn off the modem speaker:

1. Select a service that uses the Macintosh Comm Toolbox, such as AOL or CIS.

2. Open the Apple Modem Tool by clicking the Configure button.

3. Select the Modem pop-up menu and choose "Modify this menu" at the bottom of the menu.

4. Select your modem and click the Modify button to modify the modem settings. Or click the Add button to create a new copy of your modem settings.

5. Add "M0" (zero) to the end of the Initialization string.

6. Save the changes.

You can use the same steps to change the volume of the speaker. Instead of using M0 (zero), use M1, M2, or M3 with M1 being the quietest and M3 being the loudest.

• How do I connect to AOL using TCP (the Internet)?

It's very simple. You must have a TCP connection. Then in the Service Entry, select "Claris Emailer TCP" from the Network pop-up menu.

Important: You cannot use the "TCPack for AOL" comm tools. They work only with the AOL clients. Trying to use them will cause errors that may be unrecoverable.

• How do I connect to CIS using TCP (the Internet)?

You must have a TCP connection and you must have Comm Toolbox tool for TCP connections.

1. In the CIS Service Entry, select "Mac Comm Toolbox Connection" from the "Connection type" pop-up menu.

2. Select Internet from the Network pop-up menu.

3. In the Apple Comm Toolbox, select the TCP tool from the Method pop-up menu.

4. Enter "gateway.compuserve.com" for the address.

5. De-select the Telnet option.

6. Enter 4144 for the port.

CIS connections can be very busy and you may find that connections take a few tries.

• I sometimes connect to services using a modem and sometimes using a TCP connection. How can I make switching between these two connection types easy?

Use Locations. Create one location for your modem connections and another for your TCP connections. Then switching between them is accomplished with a single click.

Frequently Asked Questions (Enclosures)


• Why wasn't the file sent by my online service?

Some online services prevent enclosures from being sent to recipients via the Internet. You may want to try using the BinHex enclosure option.

• Why is the file I received a plain icon which I cannot open?

Files received from other computers may not have the information the Mac needs to open the file. If the file is plain text, you may be able to open it with a word processor. If you have the Internet Configuration System installed, Claris Emailer uses the settings in the Internet Configuration System to assign file types to such files.

• Was the enclosure deleted when I deleted my message?

No, enclosures remain in the Downloads folder until you put them in the Trash can in the Finder.

Frequently Asked Questions (Filing Cabinet)


• Can I open a message with a word processor?

You can open a filed message with most word processors. In your word processor, use the option which opens any file type. You can also copy and paste the text of the message. Also, you can often drag and drop the message files onto the icon of your word processor or text editor.

• When I read an incoming message or send an outgoing message, they are removed from the In Box and Out Box. Where did Claris Emailer put these messages?

Claris Emailer has preferences which can be used to automatically move messages you have read or sent into the Filing Cabinet. Your preferences are probably set to move these messages to the Filing Cabinet. Check the Read Mail or Sent Mail folders to find these messages.

• Are the filing cabinet folders hierarchical?

No, folders in the Claris Emailer Filing Cabinet cannot contain other folders.

• Is it OK to save hundreds of messages in my Filing Cabinet?

Yes, the Filing Cabinet can store thousands of messages although retaining lots of messages can slow the initial display of the messages. You might want to check your preferences and turn on automatic deletion for the Emailer folders so that you don't save old and unwanted mail that you have sent, read, or deleted.

Using a file compressor such as AutoDoubler or SpaceSaver can hinder performance in the Filing Cabinet. Since messages are small files, you do not save space by compressing them. Turn off compression for the Filing Cabinet.

• How do I rename a folder?

Use the Finder and rename your folder. The folders are in the "Personal Folders" folder which is in the "Filing Cabinet" folder which is in the "Claris Emailer Files" folder.

• How do I know if I read a message that is filed?

Move the message back into the In Box. If there is a green check mark in the first column, then you've already read it.

• How do I see the enclosure in a filed message?

Move the message back to the In Box. You can also see the name of the enclosure in the header of the message.

Frequently Asked Questions (Incoming Mail)


• How can I expand the text body area of a message?

You can toggle the triangle to the left of the recipient name to hide the addressee area. You can also select Toggle Item from the Edit menu or use the keyboard shortcut (cmd+T).

• Why is some text in an incoming message colored blue?

Any text that begins with the > character is colored blue. The > character is referred to as the quoting character. See the Claris Emailer User's Guide for more information on quoted text.

• Why did Claris Emailer slow down after a file was received?

Files sometimes need to be processed after they are received. This process is very intensive and may slow the computer until it is done.

• What does the folder icon in the In Box tab mean?

This indicates that a Mail Action automatically filed a message for you. Look in your In Box for a message that also has the icon. This message informs you where the messages were filed.

• What does the alert triangle icon in the In Box tab mean?

This indicates that there was an error during a connection. A message in the In Box describes the error. Such errors are usually temporary and do not happen the next time you connect.

• The default priority for incoming mail is Priority 1. How do I set it to a different priority?

Create a Mail Action and drag it to the end of the Mail Action list. In the new Mail Action, set the priority of "All mail" to whichever priority you prefer.

• I received a message that says it was sent after it was received. Why does the Sent time seem incorrect?

Claris Emailer displays the time that the mail server used when sending the message. Sometimes a mail server is not within the same time zone as the sender. This is especially true of the online services. In this case, you see the time that the mail server sent the message, not the true time that it was sent.

Claris Emailer does try to use the time zone of your local machine and the time zone of the incoming message. Make sure that you have used the Map control panel to set your position on the globe and therefore your local time zone. Also, make sure that you have the time, date, and daylight savings times correctly set in the "Date & Time" control panel.

• I received a large message and it was received as a file. Why did the message appear as an enclosure?

Emailer receives and display messages up to 64,000 characters in length. If a message is longer than that, the message is saved as a text file.

Large messages are sometime converted to files by some services because they cannot display messages larger than 32k with their own software. If the enclosure is a text file and formatted as a message, Claris Emailer tries to read it as a message. If Claris Emailer can read it as a message, it is converted from an enclosure and presented as a normal message.

• I received a large message. It was less than 64,000 characters but was truncated. Why was the message truncated?

Mail servers and online services often have limits on the message size. Additionally, the online services sometimes have a different limit for messages sent or received via the Internet. Since these limits are being removed, you should check with the online service to determine the current limits.

• I received a large text message and Claris Emailer created a file. When I tried to open the file, SimpleText tried to open it but the file was too large. What should I do?

The text file is set to be opened by ClarisWorks. If you don't have ClarisWorks, SimpleText tries to open the file. You should be able to open the text file with most text editors or a word processor.

If you have the Internet Configuration System installed, you can assign a file type for these files. Use the "editor" option under the Helpers button to assign a different application type to these files.

Frequently Asked Questions (Miscellaneous)


• What encoding formats does Claris Emailer support?

BinHex, UUcode, and Base64. It also supports the encodings specific to the online services.

• What happens if my recipient doesn't have StuffIt Expander or is not even on a Macintosh?

You need to ensure that the recipient can use the file that you send. If you are unsure that the recipient has the StuffIt tools, turn off compression.

• Can Claris Emailer get my mail from my office email system?

Not the current version unless your email system uses a POP3/SMTP mail server.

• Can Claris Emailer read forum messages?

No. Claris Emailer only access the online service's primary mail systems.

• How do I view my messages from newest to oldest?

Sort by the date column and then click the sort pyramid in the top right of the list.

• How do I select all the text of a found message?

First select some of the text and then you can use the Select All menu item.

• Why isn't the window position remembered?

In order to be remembered, all windows must be on the screen. Move the window inside the borders of the screen and its position will be remembered.

• Why can't I drag and drop text and enclosures?

You must have Macintosh Drag and Drop installed to use the drag and drop features of Emailer. Macintosh Drag and Drop is built into Mac OS 7.5. It is also installed by "Claris Emailer 1.0 Installer."

• I dragged an enclosure from Claris Emailer to another hard drive and got an error -1708. What is happening?

This error is reported by Finder 7.1.3 and Finder 7.5. It results from dragging a file from one volume to another. This is a problem in the Finder that will be addressed in future versions of the Finder. Meanwhile to solve the problem, use the Finder to move the enclosure from the Downloads folder to the final destination.

• Why can't I create a desktop clipping?

You must have the Clipping Extension installed. You must also have Finder version 7.1.3 or later.

• How can I quickly close all open windows?

If you option-click a window's close box, all windows are saved and closed except for the Browser and Connection windows.

• I use MacPPP. Sometimes it does a connection when there is no connection scheduled. What is happening?

This is a problem with MacPPP. It occurs when you use Soft Close to close a PPP connection. This does not happen if you have used a Hard Close but using Hard Close prevents Claris Emailer from automatically initiating a TCP connection via MacPPP.

• What is the Internet Configuration System and should I have it installed?

The Internet Configuration System (ICS) is a free product designed to make accessing the Internet easier. Claris Emailer does not require ICS but uses it if it is installed. You can install ICS even if you do not have access to the Internet.

There are five ways that Claris Emailer uses ICS:

- For an Internet account setup. Checking "Use Internet Configuration System" in an Internet account setup uses the settings in ICS.

- For a signature. Checking "Use Internet Configuration System" in the Signature area of the preferences uses the signature stored in ICS.

- If you command-click on a Uniform Resource Locator (URL) Claris Emailer "sends" that URL to the ICS specified application. For example, if you command-click a World Wide Web (WWW) URL, your web browser would be launched and immediately locate the WWW page.

- If a message is larger than 64k, Claris Emailer creates a text file with the file type specified by ICS editor helper.

- Claris Emailer also uses ICS to assign a file type to text files that have a three character type suffix in their name. For example, files with ".jpg" for a suffix are automatically assigned the jpeg helper type and creator.

• How can my friends test drive the product?

They can download the demo version from the Claris Forum of online services. If they like Claris Emailer and wish to purchase it, instructions for doing so are included with the demo version.

• Is there a support forum or other online mechanism to ask questions about Claris Emailer?

Frequently Asked Questions (Outgoing Mail)


• When I am addressing mail, how can I move directly from the recipient to the body of the message without having to tab through all the fields?

You can use command-tab to move the insertion point from the recipient list to the body of the message.

• Why do people who receive my mail via the Internet say that my name is not in the reply?

Make sure your name is entered in the Account section of the service entry for each service. Some services do not send your name.

• Does Claris Emailer preserve special Macintosh characters?

No, Claris Emailer tries to convert the characters to characters which look similar. For example, a u with an umlaut is converted to a simple u. This allows you to send messages to recipients that do not have a Macintosh and across various mail gateways.

• Why did I get a message saying my mail was not delivered?

Mail sent via the Internet can sometimes not be delivered. Often these are simply warnings and the message will eventually get through. The warning message that you receive often describes the problem and suggests what action you should take.

• A connection was properly made&emdash;I know this because I received mail, but some messages weren't sent. What happened?

There are a number of reasons your mail may not be sent. Here are some things to check:

1. If using a schedule, make sure that you have an account checked in the schedule, that you have time selected, and that the schedule is enabled.

2. Some services require a subject and a message body and will not accept a message without these.

3. The connection could not be made. See the question above for more information on trouble-shooting connection problems.

4. Look at the first column of the Out Box. A message can only be sent if it shows an icon for a clock. If the icon is an alert triangle, there is an error in one of the addressees. If the icon is a clock with an X through it, the message has the "Do not schedule" checkmark checked. If the icon is a checkmark, then the message was sent correctly.

5. Sometimes, a service may be malfunctioning in such a way that you can receive mail but not send it. If you have more than one email account, you may be able to send your mail from a different account by changing the Send Mail Via pop-up menu in the address field of the message. If the problem persists, you might contact your service provider and see if they are experiencing equipment failures on their end.

• How do I know if my mail was sent?

The icon on the Out Box tab will not have an outgoing arrow. By default, Claris Emailer will move outgoing messages to the Sent Mail folder in the Filing Cabinet if the message was sent successfully.

• What does a blank destination mean?

A blank destination is the same as "Internet." You can use either a blank destination or Internet to indicate that the destination is the Internet.

• How can I make multiple pastes of quoted text in an outgoing message?

First, copy the text in the incoming message (or, for that matter, any other application or your Scrapbook). Then use the menu item "Paste as Quotation" to place the quote marks in front of text as you paste it.

• How can I expand the recipient area of an outgoing message?

Position the pointer immediately below the recipient area until it changes to a "split" pointer. Click and drag to resize the area. You can also use the size box in the lower right corner of the screen to drag the window to its maximum size, or click on the zoom box in the upper right corner of the window to zoom the window to its maximum size.

• I forwarded a message that had an enclosure and the enclosure was not attached to the new message. What happened?

Claris Emailer does not automatically forward enclosures. To forward the enclosure, you simply find the file in the Downloads folder and add it to the new message. If you have Drag and Drop installed, you can drag the enclosure from the original message to the new message.

• Why did my message with 100 recipients seem to get sent twice?

Online services and some Internet mail servers have limits on the number of recipients for one message. Emailer sends the message to smaller batches of recipients. It does this until all of the recipients have been sent the message.

Q: Is there a possibility to send CIS email with Claris Emailer also with a receipt option like the navigator?

A: Not with the current version of Claris Emailer 1.0v3. The big problem is consistency. Not all online services provide the same capabilities.

Q: Can I automatically retrieve messages and place them into separate files?

A: You can create a Mail action that retrieves messages from a particular account then Saves it to a specific folder. For example, you want your CIS account messages to be placed in a folder called CIS Email. You should have already created this CIS Email folder (choose "Add Folder" within the Filing Cabinet Tab).

For the criteria of your mail action you may select to execute:
Mail Account IS "CompuServe".

In the Mail Action you created click on the button to File Message pull down the list of folders. Select your folder.

Make sure the Enabled box is checked for this Mail Action.

Q: When you press the Page Down key on the keyboard, you have no idea where the new content begins. If the message is long, Page Down brings up a new screenful of message, but if there is less than a screenful to display, you are given no clue as to where to begin reading. It would be much better if new text was always placed at the top of the screen.

A: The problem is that there may not be more text to scroll down. This is pretty common behavior in text processors.

Q: How do I change the order in which Claris Emailer checks for messages from multiple accounts/services?

A:Just change the names of the accounts. Claris Emailer checks them in alphabetical order.

Q: I want to access multiple accounts for a single service within a single "session". I CAN manage, e.g., multiple CIS accounts, but only one per session from Claris Emailer.

A: If you are talking about checking multiple accounts during a single phone call (the "session" you mention), then you are correct, there is not way to do this. None of the online services permit it.

It is possible to get to all of the online services via TCP. This allows you to connect to all accounts in one phone call.

Q: On occasion after dialing up using your local ISP the modem connected and experienced a time out with a "Link Dead" message from the Mac TCP/PPP. Emailer just sits there waiting. This could be a problem if a person wants to retrieve email while they are away from their machine for an extended period of time. Claris Emailer will get the "Link Dead" message and will just sit there until you return.

A: In the Config PPP control panel there is a setting for disconnect after X minutes of idle. Brief Reason: Once Emailer asks for the connection from MacTCP, Emailer is completely blind to the connection. All it knows is that there is a network available. The disconnect message has to come from the user or the TCP software, in this case MacPPP.

problem with solution: Some ISP services recommend that the time-out area be set to NONE since some programs meant to idle in the background need the connection open.

Q:When Emailer tries to retrieve the mail at our Internet server it tries to make a PPP link. In that process, the server asks for my user name and password. If I'm not sitting right at the machine when this happens, the whole message retrieval process stops.
Is there any way to preset Emailer to send the user name and password to our Internet server?"

A: Are you using MacPPP? If so there is a "Authentication" button that allows you to auto-enter these. Emailer has no control over this aspect of MacPPP.

INTERNET

• What do I need to make Claris Emailer connect to the Internet?

As with other services, you must first have an account. You must also have a TCP connection to the Internet. If you need to connect via a modem, you need a PPP or SLIP account. The Internet service provider that you choose will help you get your connection set up.

• Can Claris Emailer work with my shell account?

No. You must have a TCP connection to a POP3/SMTP account.

You may be able to use The Internet Adapter (TIA) with your shell account. TIA allows a shell account to act as a SLIP connection. Ask your Internet service provider (ISP) for more information on TIA.

• Why can't I connect a second time with MacPPP?

If you use the Config PPP control panel to close MacPPP, you must use the "Soft Close" button.

• Why is my dial-up Internet connection not working?

Claris Emailer does not control a dial-up Internet connection. Depending on the tool you are using, you may need to manually connect and disconnect from your Internet service provider.

• Why was the mail left on the SMTP/POP3 server when the connection failed?

If there is a problem with a connection, email is left on the mail server so that you do not lose any mail. In this case, you may get duplicate messages.

AOL

• I was receiving a message and the connection was lost. Now I don't seem able to retrieve the message. What happened?

AOL manages their email servers differently from most. Most email servers do not mark a message as read until the message has been completely delivered. AOL marks the message as read as soon as the message begins to be delivered.

If the message is interrupted before Claris Emailer can completely read it, the message is already marked as read and Claris Emailer can no longer read it. In this case, Claris Emailer places a connection log in your In Box stating the problem and directing you to use the AOL client to read the mail.

To read the skipped message, sign on to AOL with the standard client and open your read mail folder. The last message read should be the message that was skipped.

• Why does a message forwarded by Claris Emailer look different from one forwarded by the AOL client?

AOL use an internal forwarding mechanism that "attaches" the original message to the new message. Claris Emailer uses a forwarding mechanism for all services that is consistent. Messages forwarded by Claris Emailer look more like the original message than the messages forwarded by AOL.


CIS

• Why did I get a surcharge message?

CIS sometimes charges a surcharge for special messages. This can include: messages via the Internet, file enclosures, and sending over a certain number of messages per month. You can prevent seeing these messages buy checking the "Ignore surcharge warnings" checkbox.

• Do I use a comma or a period in a CIS address?

You can use either one.

RADIOMAIL

• What is RadioMail?

RadioMail is an email service provided by RadioMail Corporation. It uses wireless technology to send and receive email.

• I have a RadioMail account, how do I use Claris Emailer to send and receive email via RadioMail?

You must install custom software using the Claris Emailer installer.

1. Use the pop-up menu in the top left corner of the Installer window to select Custom Install.

2. In the Custom Install screen, select either:

   RadioMail for the RAM network (generally used if you have a Mobidem modem)
   RadioMail for the ARDIS network (generally used if you have a Motorola modem)

3. Click the Install button to install the software.

4. Locate the RadioMail program. It is installed in the RadioMail Folder which is in the Claris Emailer Files folder.

5. Use the RadioMail program to configure your RadioMail modem.

6. Start Emailer.

7. Open the RadioMail Service Entry.

8. In the RadioMail Service Entry, enter your account. Enter only the short account name not your full Internet address. For example, enter Jane.Doe not Jane.Doe@radiomail.net.

9. Optionally, enter a return address if different from your RadioMail address. Enter the full Internet address.

10. Check the "Connect to this service" checkbox.

• Do I need to schedule RadioMail connections?

Generally not. Claris Emailer automatically retrieves mail from RadioMail. You may optionally set up a schedule to send RadioMail messages in your Out Box.

Frequently Asked Questions (Setup)


• Do I already need to be a member of a service to use Claris Emailer on it?

Yes. However, to facilitate your joining, the Claris Emailer box includes starter kits for online services.

• When I first booted Claris Emailer, I got a nice, friendly series of screens that helped me setup my accounts. Now I've joined a new service and want to add the new account. How can I get these setup screens again?

Use the Easy Setup menu item in the Setup menu.

• When I used Easy Setup, it only let me create one account for each service. Can I add more?

You can add, delete, and modify accounts. Use the Services menu item in the Setup menu. AOL, CompuServe, and Internet, can have up to five accounts.

• My modem is not listed in the pop-up menus for modems. What should I do?

You can often use another modem type successfully. Try the following:

1. Pick a similar model. For example, if you own "XYZ Modem 28.8" try "XYZ Modem 14.4."

2. In the CompuServe modem setup, try each of the following:

   Hayes
   Hayes Compatible (default)
   Hayes Compatible (alternate)
   Hayes Compatible 2400

In the Apple Modem Tool, try each of the following:

   Generic 2400
   Generic MNP/V.32
   Hayes-Compatible Modem

The above settings work with most modems.

3. Contact the modem manufacturer to see if they have an Apple Modem Tool setup that you can import and then use.

4. If you are comfortable configuring modem init strings, create a custom setup for your modem. Use the Custom menu item in the Modem pop-up menu.

Guy helps you brush up on your email etiquette

Much to the relief of my wife, I no longer deny that I'm obsessed with email. (She views this admission as the first step to a cure.) I receive fifty messages per day and send 100. When I check any of the five (down from seven) services that I use, and find that I don't have email, I get depressed.

My passion for email has gotten so bad that I started a company to create an email product--there is no greater inspiration for starting a company than wanting to use its product. And there is no greater inspiration for writing than to communicate information that directly impacts your life, so all you emailers out there, please observe these rules of email etiquette.

Files: Just Say No!

#1) Don't send a file unless the recipient wants it and expects it. I've gotten three-paragraph letters that were sent as files with a cover message that said, "Please read attached letter." Only bozos send files when they don't need to. They assume that files will be properly downloaded and that recipients have the applications to open them. Then there's the assumption that recipients want to see the GIF file of a bozo's face or a bozo's resume in QuarkXPress using Giovanni Book.

#2) Don't explain your life story--get to the bottom-line reason you're writing. Many messages start off with four long paragraphs explaining the sender's life history, starting with their Apgar score. For goodness sake, show some self confidence. You don't need to explain who you are or justify why you're writing to elicit a response. If the recipient is going to answer, he's going to answer. If not, life goes on.

#3) Describe the topic of your message in the subject area. This helps both you and your recipient. When your recipients have inboxes full of messages, they are going to make the decision about which messages to read and answer based on who sent the message and what the subject is. (In my case, for example, "Love your books!" will always work.) The subject area is indispensable for the recipient to find a message that was filed away.

ALL CAPS: Just Say No!

#4) Never write in ALL CAPS. Text in all caps is considered screaming by savvy email users. It's okay to use for emphasis in rare instances of passion, but not for entire messages. An alternative is to put an underscore or asterisk before and after the text you wish to _emphasize_. Even if all caps wasn't considered screaming, it's simply harder, and therefore tiresome, to read.

#5) Quote the text from the incoming message in a reply. Hours, days, or even weeks can pass between the time a message is sent and a reply received. In that time, people can easily forget what they asked. For example, incoming message: "How's the new vacuum cleaner?" Answer, a few weeks later: "It really sucks." The convention is to place a ">" symbol or two in front of the question or comment in order to signal that this is the issue that you're addressing.

#6) Use carbon copies and blind carbon copies sparingly. Hardly anyone who gets a carbon copy or blind carbon copy message wants it. The sender thinks he's keeping people "in the loop," covering his assets, or intimidating someone. I often get a carbon copy of messages sent to Mike Spindler. Senders must think that Mike is going to be intimidated by the fact that I got the message too, that I will contact Mike on their behalf, or that Mike cares what I think. Dream on.

Chain Letters: Just Say No!

#7) Never create or forward "chain-letter" email. There is nothing funny, cute, or redeeming about this practice. People who do this should lose their email accounts. However, it is okay to send copies of interesting messages and postings--for example, the hilarious press release about Microsoft buying the Roman Catholic Church--to people you know.

#8) Practice the 5 to 1 rule: for every five words in an incoming message, your reply should have one. Someone once told me that my emails are "curt but complete." He was trying to insult me, but I took it as praise. A lot of email is venting of emotions. It's not necessary or prudent to respond to each and every point, arguing and commenting tit for tat. A simple, "Thanks for your comments." is sufficient.

#9) Use signatures sparingly. Signatures are the text that people place at the end of messages. They contain information such as phone and fax numbers and company names. Some people, unfortunately, go overboard and create elaborate signatures with poetry, quotes, and ASCII art. Not that many people want to see the ASCII art rendition of your dog, so simplify your signature or don't use one at all.

The Golden Rule: Just Say So!

It's impossible to cover every situation in a column, so always remember the Golden Rule of Email: Message unto others as you would have them message unto you. Address Book Entries Limited to 60 Characters in Address Field


You can enter email addresses of up to 60 characters in the address book. Claris Emailer will beep when you try typing beyond that. The address field in a New Message window does not have this limitation.

Workaround
If you need to enter an address that is longer than 60 characters into your address book for later use, first choose Destinations from the Setup menu and Add a new destination for the domain, everything after the @ symbol in the email address. Then create a New User in the Address Book, choose the Destination you just created and type just the part of the email address to the left of the @ symbol into the Address column.

Apparently To Information In the Internet Header After Choosing BCC for All Recipients


Some mail servers will try to manage messages and show BCC information in the Internet Header of a message. The result is a list of other recipients with "Apparently To" in front of their information. Usually the mail server can only show this kind of information for individuals who have been BCC'ed on the same server. Because the action is taking place at the server level, Claris Emailer does not suppress the "Apparently To" information.

This behavior is considered non-compliant with generally accepted RFC (Request For Comments) standards.

Apple Modem Tool Tips


This document describes some tips for using the Apple Modem Tool. The Apple Modem Tool is shipped with Claris Emailer™ for use with America Online, and CompuServe connections via modems.

Updating the Apple Modem Tools Prefs file

The configurations for modems are stored in the Apple Modem Tool Prefs file which is stored in the Preferences folder in the System Folder. The file that normally accompanies the Apple Modem Tool has a limited set of modems. The Claris Emailer Installer installs a copy of the file with a more extensive list of files.

If, during the initial installation of Claris Emailer, you did not install the Apple Modem Tools Prefs, you can easily install the file separately.

1. Launch the Claris Emailer Installer.

2. Click Continue until you see the Installer window.

3. Select Custom Install from the pop-up menu in the upper left of the window.

4. Select Apple Modem Tool Prefs from the list.

5. Click the Install button.

6. If asked to Replace or Skip, click Replace to install the new Apple Modem Tool Prefs.

Adding or modifying a modem configuration in the Modem pop-up menu

You can add new entries to the Modem pop-up menu or modify existing entries. This allows you to create a set up for your modem that meets your specific needs.

1. In Claris Emailer, select a service that uses the Apple Comm Toolbox: either America Online or CompuServe.

2. Click the Edit button to open the Service entry.

3. Click the Configure button to display the Apple Modem Tool configuration dialog.

4. Choose "Modify This Menu" from the Modem pop-up menu in the Modem Options area of the dialog box for the Apple Modem Tool.

5. If modifying an existing entry, click on the modem that you would like to modify.

If you are creating a new modem entry, click on the modem that is most similar to the modem that you would like to add. Selecting the modem first creates a duplicate of that modem configuration.

6. Click the Add button to add a new configuration or click the Modify button to modify an existing entry.

7. Make the changes to the setup.

8. Click Done to save your changes and return to the Connection Settings dialog box.

9. Choose the modem definition that matches your modem from the Modem pop-up menu.

10. Click OK to save this configuration.

If your modem is not listed in the Modem pop-up menu, consider contacting the modem manufacturer to see if they have a setup file for the Apple Modem Tool.

Importing new modem configurations into the Modem pop-up menu

You can import entries into the Modem pop-up menu. Files containing modem configurations are sometimes available on online services and directly from the modem manufacturers. Such files often have the string "AMT" (Apple Modem Tool) within the file name.

1. In Claris Emailer, select a service that uses the Apple Comm Toolbox: either America Online or CompuServe.

2. Click the Edit button to open the Service entry.

3. Click the Configure button to display the Apple Modem Tool configuration dialog.

4. Choose "Modify This Menu" from the Modem pop-up menu in the Modem Options area of the dialog box for the Apple Modem Tool.

5. To import the appropriate modem definition for your fax/modem, click the Import button and locate the modem definition file.

Once you have imported the modem definitions file, the names of the imported modem definitions appear in the list of modem definitions.

6. Click Done to save your changes and return to the Connection Settings dialog box.

7. Choose the modem definition that matches your modem from the Modem pop-up menu.

8. Click OK to save the configuration.

What to do if your modem is not listed in the list of modems

You can often use another modem type successfully. Try the following:

1. Pick a similar model. For example, if you own "XYZ Modem 28.8" try "XYZ Modem 14.4."

2. In the Modem pop-up, try each of the following:

   Generic 2400
   Generic MNP/V.32
   Hayes-Compatible Modem

The above settings work with most modems but you may not get optimum performance.

3. Contact the modem manufacturer to see if they have an Apple Modem Tool setup that you can import and then use.

4. If you are comfortable configuring modem init strings, create a custom setup for your modem. Use the Custom menu item in the Modem pop-up menu.

Making the current configuration the default for all new configurations

You can set a default configuration for the Apple Modem Tool. After you have set a default configuration, each new configuration uses the default.

To make a modem configuration the default for all new connections, hold down the Option key while clicking the OK button in the Apple Modem Tool configuration.

Turning off the modem speaker

You can turn off the modem speaker by adding M0 (zero) to the modem initialization string for your modem. This takes a number of steps to set up but you only need to do it once.

Follow these steps to turn off the modem speaker:

1. Select a service that uses the Macintosh Comm Toolbox, such as America Online or CompuServe.

2. Open the Apple Modem Tool by clicking the Configure button.

3. Select the Modem pop-up menu and choose "Modify this menu" at the bottom of the menu.

4. Select your modem and click the Modify button to modify the modem settings. Or click the Add button to create a new copy of your modem settings.

5. Add M0 (zero) to the end of the Initialization string.

6. Save the changes.

You can use the same steps to change the volume of the speaker. Instead of using M0 (zero), use M1, M2, or M3 with M1 being the quietest and M3 being the loudest.

Avoiding the Carriage Return in Word Wrap


To avoid having Claris Emailer add Carriage returns to the end of each line, add an Option-Space at the beginning of your message. You will now only have a carriage return when you type one or at the end of a paragraph.

Claris Emailer and MCI Mail


MCI Mail offers its customers two account types. The first is a dial up, mail-only account that is based on non-internet protocols. Though MCI Mail offers it PC users email software, Macintosh users must use a traditional communications program (such as Zterm or ClarisWorks communications) to obtain their mail. Claris Emailer can not send or receive mail on these accounts. Though the architecture of Claris Emailer does not rule out the possibility of supporting this account type in the future, it is not currently supported.

MCI Mail users who have full internet access via an MCI PPP or SLIP account can use Claris Emailer to obtain their email. This account type is easily distinguished from the previous kind by checking for other internet applications. If a World Wide Web browser, for example, has successfully been run using an account with MCI, the account is a full internet access account. Configuring this account type to work with Claris Emailer is no different from any other internet service provider; account information must be entered into Claris Emailer, and the system software must be set up to support PPP and TCP/IP networking.

Eumorpha - Eudora to Claris Emailer


Eumorpha is a very simple utility which will import Eudora (or equivalent) mailbox files into Claris Emailer. It will also burst some digest formats. You must have Claris Emailer 1.0v2 or later to use Eumorpha.

The File menu:

• Import File...
The file you select will be imported, if it's in the right format. It will be ignored if it's in the wrong format. A Filing Cabinet folder with the same name as the file will be created in Claris Emailer (if it doesn't exist), and the messages in the file will be added to that folder. The command-key equivalent is Command-I. You can also invoke this by dropping a text file icon on the Eumorpha icon or in the open area of the Folders window. For compatibility with Eudora, importing a file called "Trash" will put messages into the Claris Emailer folder "Deleted Mail" and importing a file called "Out" will put messages into the Claris Emailer folder "Sent mail".

• Import Folder...
Each file in the folder you select will be imported, as above. Subfolders will be traversed in the same way. You can also invoke this by dropping a folder icon on the Eumorpha icon or in the open area of the Folders window. Since non-mailbox files will be ignored, you can import your complete Eudora Folder this way.

• Update Folders
This will update the list of Claris Emailer folders displayed in the Folders window. Claris Emailer must be running at the time. You shouldn't generally need to perform this operation unless (a) you start Eumorpha when Claris Emailer isn't running or (b) you alter the list of Claris Emailer folders directly (ie, in Claris Emailer).

• Quit
Quits.



The Accounts menu

• Update Accounts
This will update the list of Claris Emailer accounts displayed in the rest of the menu. Claris Emailer must be running at the time.
You shouldn't generally need to perform this operation unless (a) you start Eumorpha when Claris Emailer isn't running or (b) you alter the list of Claris Emailer accounts.

The rest of the Accounts menu consists of the list of current Claris Emailer accounts. Selecting an account from this menu will cause that account to be used for subsequent imports.



The Mode menu

• Incoming
Sets the default transfer mode such that imported messages will be tagged as incoming (note that any files imported into Sent Mail will always be tagged as outgoing, regardless of this setting). This is the default.

• Outgoing
Sets the default transfer mode such that imported messages will be tagged as outgoing (note that any files imported into Read Mail will always be tagged as incoming, regardless of this setting).




The Folders window

This window consists of the list of current Claris Emailer Filing Cabinet folders. Double-clicking a name from this menu, or selecting it and hitting Return or Enter, will import a file into the corresponding Claris Emailer folder rather than creating a new folder. Similarly, dropping a file icon into this window will import the file into whichever folder name you drop onto. Dropping into the "open" area of the window (ie, not over any particular folder) is equivalent to Import -- a new folder will be created with the same name as the dragged file.

You can also drop "file-promise" drags into this window, but only if the originator of the drag is strictly following the file-promise protocol. Anarchie does, so you can import, say, Unix mailbox files from a remote host into Claris Emailer by dragging the file from an Anarachie window into Eumorpha's Folders window. NewsWatcher usually follows the protocol (see below for one exception), so you can drag articles into Folders window and they will appear as messages in Claris Emailer (digests like info-mac will be burst). Because Fetch 3.0 does its own file decompression and debinhexing, it doesn't generally know the name of the final file until the transfer is complete. For this reason, Fetch 3.0 does not quite support the promise protocol, so don't drag from Fetch into the Folder window.

Claris Emailer must be running for the list displayed in the Folders window to be valid. If you start Eumorpha while Claris Emailer isn't running, the list will be empty. You can update it with the Update Folders command, after starting Claris Emailer.



A few random comments and caveats:

• This is beta software. Use appropriate precautions.

• Claris Emailer must be running before you can do any importing. Similarly, the Folders window and Accounts list will not be valid or updatable unless Claris Emailer is running (Claris Emailer and Eumorpha communicate via AppleEvents).

• Remember that Eudora destructively modifies "big" messages for purposes of display. When you import such messages into Claris Emailer, they will appear as unrelated distinct messages, since the only connection the parts have in Eudora is maintained in the toc file.

• Large messages from other (ie non-Eudora) sources may be too big for sending by AppleEvent. Please let me know if you run into this problem.

• Outgoing mail in Eudora does not contain a Date: header. Importing such mail may cause peculiar dates to show up in the Claris Emailer summary of Sent Mail. Doing something smarter here is on my to-do list.

• You cannot yet import directly into the In Box or the Out Box.

• Remember to Compact Mailboxes in Eudora before importing. Otherwise deleted messages may reappear in the imported folders.

• Digests received in Claris Emailer can be "burst" by dragging the message into the Eumorpha window. Similarly, digests in newsgroups can be burst by saving the article and importing the resulting file, or, with NewsWatcher, by dragging the article's entry from the group-subjects window into the Eumorpha window.

• NewsWatcher's Save Threads To Separate Files option will not work properly when dragging articles to Eumorpha, for the simple reason that NewsWatcher tells it only about the first file, not about the subsequent ones. You must disable this option if you want to drag multiple articles (from multiple threads) directly to Eumorpha. Hard Disk Space Considerations


Filing Cabinet

When you file a message from the In Box or Out Box to the Filing Cabinet, it is saved as an individual file. This has ramifications for hard disk space, especially for people with large hard drives, which have large minimum file sizes. For example, a 2-Gbyte disk has a minimum file size of 32K. That means a 1K message will take up 32K on the hard disk. For the rare person who receive hundreds of messages a day, this can quickly fill up a hard disk.

Also worth noting is that the Finder has a theoretical maximum of 32,767 files per folder. Open/Save dialogs often choke on fewer than 900 files in a folder. If you try to open a Claris Emailer filed message with a word processor using the Claris Emailer XTND filter, and you have more than 900 files in a filing cabinet folder, you may have problems. The solution is to archive old messages or create a new folder to file current messages into.

Downloads Folder

When you delete a message that has an enclosure, the enclosure is not deleted. To delete an enclosure, open the enclosure pane, and drag the file to the trash. Alternatively, you can open the Claris Emailer Folder and then the Downloads folder and drag old files to the trash.

Importing AOL Address Books in Claris Emailer


When you import an America On Line address book in to Claris Emailer the generic NAME field from AOL is placed in the Description field of the Claris Emailer address book. The Address and Destination are placed correctly.

AOL's address book does not differentiate between names, company names, and descriptions. Claris Emailer sends whatever is in the NAME field to the Description field as a default.

Once imported in to Claris Emailer the addresses can be easily edited in Claris Emailer by copying and pasting the necessary information in the individual address entries.

Recipient Limitations


You can address a single message for up to 250 recipients in Claris Emailer. Claris Emailer will not include recipients over limit of 250. There is no warning beep or notification of exceeding the limit other than the status line in the Out Box Item window for a new mail message.

Since some email gateways have a limit to the number of recipients per message smaller than 250, Claris Emailer sends duplicate messages in chunks of 50 recipients to assure that your email message is delivered to everyone.

If you need to send a message to more than 250 people, you have two options. One option is to copy the message several times, addressing each one to 250 people until you have covered all the addresses. The second option is to use BulkMailer, an AppleScript utility available for downloading at the Fog City web site, http://www.fogcity.com.

Sending Files to an America Online Address from an Internet Address


When Claris Emailer downloads a message and file enclosure from an America Online (AOL) account that has been sent via the Internet, it does not unbinhex the file. You must add .hqx to the end of the filename and drop the file on Stuffit Expander (available in the AOL software libraries, keyword FILESEARCH) or another unbinhexing utility.

Setting a Group for Blind Carbon Copy or Carbon Copy


How do you set a complete group all to BCC (Blind Carbon Copy) or CC (Carbon Copy)?

Synopsis:
If you have a distribution list to send a message to but you don't want everyone's address in the beginning of the message you can BCC everyone.

Solution:
To set all the recipients in a group to the same setting (other than TO) such as BCC first change the TO to read BCC, then tab to the Recipient field. Start entering the Group name, you cannot do a Find Recipient for the group you must let Emailer enter the group name for you, then tab to the next field. A dialog box will pop up allowing you to select a group name, select the exact group you want, press the Select button. All the members of the group will be entered in the list of Recipients with the same BCC setting.

Note: If you use the Find Recipient all the members of the group will have TO instead of BCC.

Spontaneous Dialing Out to ISP From PPP and Claris Emailer


Claris Emailer and Claris Emailer Lite, which is bundled with the Apple Internet Connection Kit, may appear and can potentially dial out to your Internet service provider as setup in your Config PPP Control Panel. This is not an action directed from either versions of Claris Emailer.

The problem lies within all versions and brand name releases of PPP software. There has been considerably better performance and reliability when using FreePPP version 2.5 or greater, however the potential for spontaneous dial outs still remains.

Using AppleScript in Claris Emailer to Close MacPPP


Because there is no direct interface between Claris Emailer and MacPPP we have to rely on AppleScript to close MacPPP. This is necessary because Claris Emailer cannot cope with a user-initiated hard close, if you use a hard close in MacPPP you will have to restart your Macintosh so that Claris Emailer can again access the port.

Claris Emailer includes AppleScripts which will open MacPPP, connect, gather mail then close PPP when finished. The purpose of this article is to take you through the process of configuring a machine to take advantage of this feature.

You will need:

"Internet using MacPPP" scripts. Installed in the AppleScripts for Schedules folder in the Support Files folder in the Claris Emailer folder. These need to be moved before you use them&emdash; place the "Internet using MacPPP" scripts in the AppleScript folder in the Claris Emailer Files folder.

MacPPP Control 1.4. THIS IS NOT INCLUDED WITH THE CLARIS EMAILER PRODUCT, this can be obtained from our WEB/FTP site. Make sure you are using version 1.4. This is to be installed in the Scripting Additions folder in the Extensions folder.

MacPPP. For Macs running Open Transport you need to be running FreePPP 1.0.5. For Macs running MacTCP (so-called Classic Networking) you should be running FreePPP 1.0.5 or MacPPP 2.2.0a.

Mac/FreePPP consists of two components: a control panel called ConfigPPP and an extension called PPP.

This will be further complicated with the imminent release of FreePPP 2.5 which will supplant previous versions of BOTH MacPPP and FreePPP. It will consist of an extension, PPP and a new control panel Setup FreePPP. In theory, FreePPP 2.5 should be the choice for both Open Transport and MacTCP when it is released.

Housekeeping, or caught between a soft and a hard close.

There is now a choice of two scripts for controlling PPP: Internet using MacPPP (Soft) and Internet using MacPPP (Hard). Internet using MacPPP (Soft) uses a soft close when it completes a connection, while Internet using MacPPP (Hard) uses a hard close. Using a hard close avoids a problem that MacPPP occasionally has with dialing, but when using the hard close script, you cannot do a Connect Now between scheduled connections.

If a customer is content to do only scheduled connections, use Internet using MacPPP (Hard). If they want to be able to do Connect Now, use Internet using MacPPP (Soft).

The script assumes the application is called Claris Emailer 1.0v3. If your copy of Claris Emailer is not called Claris Emailer 1.0v3, the script may prompt you to locate Claris Emailer 1.0v3 or you may edit the script.

The script connects to the default account of the Internet service. You can also connect to another service or a specific account by editing the script.

In Claris Emailer, create a schedule that will execute this script. Select AppleScript from the Execute pop-up menu and select the script from the AppleScript pop-up menu.

Using Open Transport 1.1


Claris Emailer 1.0v3 is compatible with Open Transport 1.1, the networking tool installed with Apple System Software Updater 2.0, also know as System Software 7.5.3. Since Claris Emailer 1.0v3 takes advantage of native system calls built into Open Transport 1.1, system crashes can occur if there is a conflict with an incompatible extension or control panel. If your Macintosh experiences system crashes while using Claris Emailer 1.0v3 and Open Transport 1.1 you can take some steps to determining the problem:

1. First check to see if there any control panel or extension conflicts by starting up with System 7.5 extensions only. This is easily done by starting the Extension Manager control panel and choosing the set called System 7.5 only or System 7.5.3.

2. If Claris Emailer continues to crash, switch back to classic networking with the Network Software Selector application provided with system 7.5.3.

If Claris Emailer does not crash with classic networking installed this may mean that the system software is corrupt. In this case you will need to do a clean install of System 7.5 and then update to System 7.5.3 again. To do a clean system install use the keyboard combination [Shift+Command+K] at the System 7.5 Installer dialog box before clicking the Install button and choose Install New System Folder (Figure1). After completing the System 7.5 install you can proceed with the System 7.5 Update 2.0.

When you do a clean install the old system software will be left in a renamed System Folder unaffected by the new system software. You will need to move items you want to keep from the old System Folder such as extensions, control panels, preferences, and fonts into the new System Folder. Be careful not to replace any of the newly installed system extensions or control panels because this may cause additional conflicts. You can also move the Claris folder from the old system folder to the new system folder. These steps should solve the problem with your system. Be extremely careful about what extensions and control panels you are running with System 7.5.3.

When Message which had an Enclosure is Filed, Enclosure become Inaccessible


Claris Emailer never deletes files or information unless you drag a file to the trash. Enclosures are NEVER deleted by Claris Emailer, even when you delete a message. They are stored in the Downloads folder which can be set through a preference.

Workaround:
You can always open the Downloads folder to retrieve and trash files. Additionally, you can drag a message from the filing cabinet back to the In Box and the enclosure is shown and accessible.

An Error Occurred While Trying to Compress the Enclosure


There are several reasons why you may get the error message:

An Error Occurred While Trying to Compress the Enclosure.

This message appears in the Connection Log error in your In Box after trying to send mail. Claris Emailer may not be able to locate the File Transfer Tool which it uses to compress enclosures. Open the Claris Emailer Folder and make sure that the Claris Emailer application is there. Also make sure there is a Claris Emailer Files folder. The File Transfer Tool should be in the Claris Emailer Files folder. If any items are missing, find them and put them in their proper location. If you are unsure how to do this, simply move the Claris Emailer Folder to the main level of your hard drive and run the Claris Emailer Installer again from your original diskette.

Another reason for this error message is that Claris Emailer cannot locate the file you originally enclosed in the message. This can happen when you enclose a file, save the message in your Out Box, and then throw the file in the trash before Claris Emailer has a chance to send the message. Simply open the message, remove the enclosure and reattach the enclosure, making sure not to delete, rename, or move the file until it is sent.

If you experience a system error or a crash while Claris Emailer is compressing or encoding a file, disable your system extensions by Restarting your Macintosh and holding down the shift key until you see the message:


Welcome to Macintosh. Extensions off

Try to send mail again and if the system error no longer occurs, you have a control panel or extension which is incompatible with the Claris Emailer compression/encoding feature. Enable your extensions until the error recurs, and you will know that is the problem extension.

Can't Connect to AOL with Practical Peripherals PM14.4FMXT


Claris Emailer is not able to connect to America Online using the default settings it ships with for the Practical Peripherals PM14.4FMXT modem. The solution is to change the initialization string to AT&F. There may be a more optimal initialization string for this modem but we have not determined that yet.

To do this, choose Services from the Setup menu, double click America Online, click the Configure button, make sure Apple Modem Tool is selected in the Method popup menu, and Practical Peripherals PM 14.4FMXT is selected in modem options. Then select Custom from the modem options popup. Replace the initialization string with AT&F and press OK.

Then try to connect again, using the Connect Now command in the Mail menu.

CompuServe Doesn't Look Like It's Connecting


When Claris Emailer connects to CompuServe, if it doesn't find any new mail and there is no mail to be sent, it disconnects so quickly you may think that it did not connect successfully. Look in your In Box. If there is no Connection Log error entry for the CompuServe connection which just took place, then it was a successful connection.

If you want to be absolutely sure you are successfully connecting to CompuServe, address a piece of mail to yourself and send it via your CompuServe account. This way you will see "Sending message 1 of 1" after "Waiting to establish protocol."

Configuring Apple Express Modems


Some PowerBooks, AV Macs, and PowerMacs come with Express Modems built in.

If you have an Express Modem, use the Express Modem tool rather than the Apple Modem tool to connect with services via Claris Emailer. To change modem tools, choose Services from the Setup menu, open a service, click the Configure button, and select Express Modem Tool from the Method popup menu. Then fill in the phone number.

In general, you can leave all other settings on their defaults. However, if you are having problems connecting, try turning off the handshake XON/XOFF checkbox. Also make sure that you don't have the minimum connection speed set to a high value. This should be set to 2400 or lower. If you have it set to 14,400 and you connect at 9600, the connection will be terminated since it isn't 14,400 or more.

Setting Data Features to Best Available is another thing to try when experiencing connection problems. This instructs the modem to negotiate the appropriate protocol based on the capabilities of modem it is connecting with.

Fax Modems & Claris Emailer


If you are having difficulty getting Claris Emailer to initialize your modem when you issue the Connect Now or through a schedule, check to see if your fax software is on and ready to receive faxes. Claris Emailer does not have the ability to reset the serial port and any fax software must be turned off in order for Claris Emailer to access the serial port and proceed with a connection.

Network Stream Errors


Older versions of Claris Emailer running under MacTCP (Classic Networking, as it is called under System 7.5.3) typically reported errors such as "The connection timed out." or "The connection came halfway up and failed" when it was unable to connect to an Internet mail account or SMTP Server. However, when running Open Transport, Claris Emailer often returned errors including "Network Stream Error", -3198 and various -32xx errors because of conflicts between Claris Emailer 1.0v1, 1.0v2 and beta versions of Open Transport.

Claris Emailer 1.0v3 is fully compatible with Open Transport 1.1 on 68k and PPC Macintosh computers. Claris Emailer 1.0v3 will return the above errors with Open Transport 1.1 if the addresses under the Internet Service Entry are not entered correctly. Specifically, an address that does not include the server name under Email Account can result in these errors.

Another reason you could get a "network stream error" is if Claris Emailer 1.0 is configured to use the Internet Configuration System (ICS), with a check in the box: Use Internet Config, but the Internet Config extension is not in the Extensions folder, the result is a "network stream error."

To fix this problem, run the Internet Config application and from the Extension menu select Save Extension.

If you don't want to enable the Internet Config extension, you can tell Claris Emailer to not use the internet config by deselecting the box: Use Internet Config in the Internet Services Entry window and fill in all the fields manually.

This is not a problem with Claris Emailer 1.1. If the Internet Config extension is not installed, then the check box is grayed out.

No Data Available for Reading


When Claris Emailer returns a connection log with the error message: "No data is available for reading," it is likely that your Internet Service Provider's Domain Name Servers (DNS) are down.

Explanation
Claris Emailer is trying to get the IP address for the POP or SMTP server name you have in your Internet settings, and the DNS is not responding.

Troubleshooting
To confirm that DNS services are down, try running another Internet application such as a web browser to see if you can get to any web sites. If your web browser works, then DNS services are working and you can continue troubleshooting with Claris Emailer. If the web browser doesn't work, make sure you are connected to your Internet Service Provider and, if you are but still can't connect, contact your Internet Service Provider.

ObjectSupportLib Required for Claris Emailer 1.1 on Power Macintosh


Power Macintosh computers require ObjectSupportLib in the Extensions folder in order to run Claris Emailer 1.1. Claris Emailer checks for and installs the file if it is not present in the System Folder.

Starting up with extensions off will disable ObjectSupportLib and result in the following error upon launching Claris Emailer:

The application "Claris Emailer 1.1" cannot be opened because an unexpected error occurred.

When turning off extensions is necessary in the course of troubleshooting a Claris Emailer issue, use the System 7.5 Extensions Manager and start up with 7.5 Extensions Only.

Sending File Enclosures Through a CompuServe Account to an Internet Address


Sending a file enclosure through a CompuServe account to an Internet address (anything outside the compuserve.com domain) will result in the following connection log error:

** Receiver(s) not valid for binary message

The CompuServe Internet mail gateway accepts only text files and files which are already properly encoded when sending them to an Internet destination. To get around this CompuServe limitation, make a selection from the Encoding pop-up menu in the File Enclosure panel in Claris Emailer software. Choose BinHex if you are sending the file to another Macintosh owner. Choose UUEncode if you are sending it to a PC or UNIX owner.

Supra 288, Latest ROM (version 1.3.07) Not Connecting to AOL


Apparently the problem is that certain AOLNet nodes are incompatible with the Rockwell chip set that Supra uses in their 28.8 modems. Supra Corporation is investigating the problem. In the meantime, you can add a \N5 to your modem setup string for the Supra and it will reportedly take care of the problem.

Adding or modifying a modem configuration in the Modem pop-up menu

You can add new entries to the Modem pop-up menu or modify existing entries. This allows you to create a set up for your modem that meets your specific needs.

1. In Claris Emailer, select a service that uses the Apple Comm Toolbox: either America Online or CompuServe.

2. Click the Edit button to open the Service entry.

3. Click the Configure button to display the Apple Modem Tool configuration dialog.

4. Choose "Modify This Menu" from the Modem pop-up menu in the Modem Options area of the dialog box for the Apple Modem Tool.

5. If modifying an existing entry, click on the modem that you would like to modify.

If you are creating a new modem entry, click on the modem that is most similar to the modem that you would like to add. Selecting the modem first creates a duplicate of that modem configuration.

6. Click the Add button to add a new configuration or click the Modify button to modify an existing entry.

7. Make the changes to the setup.

8. Click Done to save your changes and return to the Connection Settings dialog box.

9. Choose the modem definition that matches your modem from the Modem pop-up menu.

10. Click OK to save this configuration.

If your modem is not listed in the Modem pop-up menu, consider contacting the modem manufacturer to see if they have a setup file for the Apple Modem Tool.

Troubleshooting Connections to Internet Accounts


If you are getting an unable to connect message via either a PPP/SLIP account or a direct POP account, make sure to check the following things in Claris Emailer:

1. Choose SERVICES from the Setup menu, double click Internet, and make sure the Email Account field has your full POP address, password, and smtp server name.

Incorrect Address: johndoe
Correct Address: johndoe@pop.acme.com

Incorrect SMTP Host: acme.com
Correct SMTP Host: smtp.acme.com

The address, password, and server name can be case sensitive and should generally be typed in all lower case. Further, in most cases, the domain name after the @ in the Email Account field is three parts as is the the SMTP host information.

2. If the "Use Internet Configuration System" option is checked, uncheck it. Then fill in the fields manually if they are not already filled in. Claris Emailer 1.0v1 and Claris Emailer Lite 1.0v2 may swap information in the Email Account and Email Address fields from the Internet Configuration System incorrectly. This is only a problem if the two addresses are different.

3. Check your service. Run another Internet application that you use such as Netscape or Mosaic to see if you can connect at all. If you CAN'T, your Internet Service may be down, or your MacTCP or PPP/SLIP configuration is wrong. In this case, it is usually best to contact your Internet Service Provider to check on the status of the network and your PPP/SLIP settings.

Note: If you are dialing in through PPP, you may want to restart the Macintosh before attempting step three, as a hard close of the PPP issued from the ConfigPPP control panel will most likely require rebooting the Mac to ensure a proper connection on the next attempt.

Troubleshooting Modem Connections to Services


Here are some steps to follow for getting your modem to connect and respond correctly with Claris Emailer.

1. If you have been able to connect in the past and don't remember changing any settings, try to connect with the online service client software instead of Claris Emailer. If you cannot connect, it is possible that either the service is down, or your modem is off or not connected to the computer properly. Claris Emailer will commonly produce a Connection Log in this case: Modem Not Responding

With this error first check that the cable is not a DTR cable and that the modem is plugged in and turned on. Then move on to step 3.

2. If you can connect with the client software, it is probably a Claris Emailer configuration issue. Claris Emailer may produce a Connection Log in this case: Error Communicating with Modem

This is almost always a modem string error. Move on to steps 3 and 4, they may be all you need.
Even if this is not the exact Connection Log or problem encountered check all of the following:

3. If you have a PowerBook or an Express Modem, use the modem tool provided with the modem instead of the Apple Modem Tool. CompuServe subscribers with PB500 internal modems must use the Comm Toolbox to connect to CompuServe with a modem. You might be able to get it working with the Apple Modem Tool, but ultimately the PB500 tool that came with your PowerBook has proven more reliable. Similarly, the AV and PowerMac computers that include the GeoPort Modem will need to use the Express Modem Tool.

4. Press the Configure button in the service entry, and choose the correct modem from the list. If your modem is not available, try the Generic MNP/V.32 option and reduce the baud rate to 19200. If this does not work, try the Hayes compatible, or failing all else, choose Custom from the modem type pop-up menu in the Apple Modem Tool and change the Initialization string to AT&F.; (Global Village modems use the string AT&F1.;)

5. The Apple Modem Tool must be version 1.5.3 (the latest version as of the writing of this article). To check the version of the Apple Modem Tool: open the Extensions folder inside the System Folder, click once on the Apple Modem Tool, and choose Get Info from the File menu. If it is not the right version, remove the old tool from the Extensions folder in the System Folder and reinstall Claris Emailer. It will install the new version. Make sure that when the installer asks if you would like to skip or replace the Apple Modem Tool Preferences, that Replace is chosen. Restart your computer.

6. If all of the above appears to have been configured correctly and the connection is still not occurring, try restarting with extensions off. The Apple Modem Tool continues to function even with extensions off. In this way you can eliminate possible conflicts, especially ones with fax software.

Special circumstances:
1. With Supra 28.8 modems and AOLNet as the network, the modem string may need to be modified to include \N5 at the end. Do this by choosing Modify This Menu at the bottom of the modem list, modify the modem string, and save it under a new name.

2. Claris Emailer can become corrupted if it resides on a computer with System Software 7.1 that is using a System Software 7.5 Chooser. This may occur when new printer software is installed. The common symptom in this case is that Claris Emailer worked for a short while (up to a few days) and then stopped. To remedy the problem, install the older Chooser or install all of System Software 7.5 and reinstall Claris Emailer.

Won't dial phone for Internet connection


Question: When I try to connect to my Internet Provider, it won't dial. I'm using System 7.5.3 and Open Transport and FreePPP.

Answer: Claris Emailer should activate TCP/IP, which then calls up FreePPP. If FreePPP is not activated and does not dial, first check to see if you can connect directly using FreePPP, by launching FreePPP Setup on your hard drive or selecting Open FreePPP from the FreePPP menu bar item and and clicking on the Connect button.

If that works, then launch FreePPP, click on the General tab and select the option: Allow applications to open connection.

If that option is not selected, then Emailer will not be able to call up FreePPP to dial the phone.

Word wrapping from Internet mail received on CompuServe address using Claris Emailer


Q: When I receive E-mail through my CompuServe E-mail address, that comes off the internet (Not a CompuServe customer) The box in the lower corner of the mail says "Fixed Margins" I always do a select all and copy, then open a new ClarisWorks file and move the text. When I do this the first line goes across the page to the right margin, then wraps the next 3 or 4 words. It then goes to the next line and starts over, even though this is not a new sentence or paragraph. In order to get the letter in the proper paragraph format, I have to go to the beginning of a new line and do a delete, then ad a space. For 3 and 4 page letters this is time consuming.

A: The reason this happens is that each line of the email ends in a carriage return, so when you paste it into ClarisWorks (or any other word processor), the carriage returns are also pasted in. Each line, however, is longer than what can fit in the word-processing document, so each line wraps also. One way of fixing this is to use a smaller font size in the WP document.

Another way is to do strip out the carriage returns via find and replace. First set the find to look for two consecutive carriage returns, and set the replace as a combination that wouldn't be in the document normally (I use a double bullet--two option-8 characters in a row). Then Change All. Next, set find to one carriage return and replace to one space, and do another Change All. Finally, find the two bullets and change them back to two carriage returns, using find/change as before.

Claris Emailer and Type 28 Crashes


The System Update 2.0 and Mac OS 7.5.3 contain the ThreadsLib within the system update, therefore it is no longer needed in the Extensions folder. The System Update 2.0 fails to remove the ThreadsLib which causes the type 28 errors with Claris Emailer and Claris Emailer Lite.

Removing the ThreadsLib and restarting should correct the problem.

Claris Emailer Crashing When Performing a Connect Now


Check to see if you have these three INITs installed in your Extensions folder. AutoDoubler, FaxSTF or any other fax software and SpeedDoubler. If you do have any of these extensions then choose the Extensions Manager in your Control Panel and deselect them in the list (make sure there is no checkmark next to their names). Restart your Mac and give Claris Emailer another try.

**This seems to only affect some PowerPC models but it is a good thing to check for on all types of Macs.

Late last week, Connectix released Speed Doubler 1.1 to correct a serious problem with the Speed Access component of Speed Doubler. Speed Access 1.1 corrects a problem whereby an uncommon combination of file system calls could cause a disk directory error. Other changes in the update include better performance for high speed serial transfers and improved compatibility with Excel 4.0, Apple PowerPC Upgrade cards, and future System updates. Connectix recommends all Speed Doubler users update to Speed Access 1.1.

CompuServe Connection Invalid Port Message


The CompuServe libraries that Claris Emailer uses allows for three connection possibilities; Modem Port, Printer Port, and Comm Toolbox. If you have a port that is not named "Modem Port" or "Printer Port" then you must use the Comm Toolbox to connect to CIS, this is a bug in the libraries that CompuServe provided.

Use the Mac Comm. toolbox to connect instead of the Standard CompuServe connection. Here are the steps:
1. From the Setup menu select Services, highlight CompuServe and click on the Edit button.
2. Under the Connection Tab change the Connection Type to: Mac Comm Toolbox Connection
3. Click the Configure button.
4. Select the Apple Modem Tool if it is not already selected.
5. Select your Modem from the Modem pop-up menu.
6. Enter the phone number. Do not make any other changes to the setup.
7. Accept the settings.

Emailer Locks Up Momentarily


Even with Thread Manager installed, there are two situations where Claris Emailer will temporarily seem to lock up your computer by leaving the mouse mobile, but unable to select anything on screen.

1. Claris Emailer temporarily freezes just during the actual connect or disconnect from an online service. Check the Claris Emailer connection status bar to verify that it is connecting or disconnecting.

2. Claris Emailer also temporarily freezes while it is packing or unpacking a message that has a file enclosure. In both these cases, the process that is running is not able to give up control to Thread Manager. If you happen to receive or send a large number of messages all at once, be sure to give Claris Emailer sufficient time to pack or unpack the enclosures before force quitting or restarting.

Error: Can't open temporary file, do you own it?


Issue:
When I try to connect to my Internet Provider, I can't get my mail and I get the following error message in my Connection Log:

Answer:
This error comes from the mail server at your Internet Provider. It is not a Claris Emailer issue. If you continually get this message, you can call your provider and ask them to solve the problem with the temporary file on their server.

Moving Message to Deleted Mail While the Message is Open


When a message from a Filing Cabinet folder which is open in the background is deleted from the Browser "Delete" button or moved to the Deleted Mail folder in Claris Emailer 1.1, the message cannot be closed or deleted. Claris Emailer will display the message:

"Couldn't complete the last command, because the file could not be found."

It is necessary to quit the application in order to close the message.

Password Error when Connecting to CompuServe


A small number of Claris Emailer customers have reported problems connecting to their CompuServe account even when they know all their settings and password are correct and the modem dials the service. A password error is returned, even when they use the same password that works with the CompuServe Information Manager application.

The cause of the problem seems to be a modification of the account options stored on the CompuServe server. The solution is for the customer to call CompuServe and ask for their account options to be reset so that Claris Emailer can log into the account successfully.
